- What is your monthly copy/print volume?
- What much time are your employees are spending waiting for jobs to print?
- What paper sizes do your organization uses for printing/copying? (legal, letter. ledger)
- Do you need color prints?
- What are you currently paying for copying/printing in house and outside?
- Do you still need a fax on you printing device? (most companies now use the scan feature to send documents)
- And of course what is your budget?
Quick FAQ questions - Copier Lease vs. Purchase outright
Is it better to lease or buy a copier?
It all depends on the size and copy | print volume, if you have a low volume (2000 prints or less per month) then is better to buy outright, if you have a higher than 2000 prints per month you should buy, because you can get a faster copy machine for a small price per month, the cost to operate a faster (bigger copy machine) is lower than a smaller machine. Toner cost more on a smaller copier. Leasing a copier has a tax advantage.
Is a maintenance agreement required if I lease a copier?
No, is not required, but is always recommended, copier have parts that do wear out, and have a copy/print yield, that means, like your car oil change or brake replacement, in a copier you need maintenance kits to be able to keep the print quality and reliability up to the manufacturer's standard, so in most cases if you do not get a service agreement, eventually, you will pay for the service and parts all at once.
Why does my copier sales rep wants to replace my lease copier before the lease agreement expiration date?
Many copier companies have figured out that by upgrading your copier 6 months prior to the lease expiration, helps them keep the competition away, and get more for their office equipment. In most cases if you get a second vendor to give you a quote on a new copier, they will have to include the remainder of the lease payments on the new copier lease, so it makes it harder to compete cost wise. So you are better off waiting to get a new copier lease bid when you get closer to your existing equipment lease end.
